SwimmersREEF helps swim teams manage rosters, meet entries, attendance, parent accounts, and related team communications. This policy explains what information may be collected, how it is collected, and how it is used.

Information We Collect

Depending on how your team uses SwimmersREEF, we may collect:

  • Account information, such as parent, guardian, swimmer, coach, or administrator name, email address, phone number, password credentials, role, and team access.
  • Swimmer roster information, such as swimmer name, sex, birthdate, age group, team code, email or phone for older swimmers, notes, and parent or guardian relationships.
  • Meet information, such as meet names, dates, facilities, events, age-up dates, eligibility data, entries, relays, seed times, attendance responses, and export files.
  • Imported team or registration data that a team administrator, coach, parent, or guardian uploads or enters.
  • Basic technical and security information, such as session cookies, timestamps, request activity, and information needed to keep accounts signed in and protect the service.

How Information Is Collected

Information is provided by team administrators, coaches, parents, guardians, and, where enabled by the team, swimmers. Parents and guardians may add or update swimmer information, confirm meet attendance, and manage their own account information. Coaches and team administrators may also enter or import roster, meet, registration, and event data on behalf of the team.

How We Use Information

SwimmersREEF uses information to:

  • Create and manage team, parent, swimmer, coach, and administrator accounts.
  • Build rosters, determine event eligibility, assign swimmers to individual events and relays, and export meet entries.
  • Collect attendance responses and communicate meet-related information to families.
  • Provide support, troubleshoot issues, maintain security, prevent unauthorized access, and improve the service.
  • Comply with legal obligations and enforce team or service rules.

How Information Is Shared

SwimmersREEF is intended for team operations. Information may be visible to authorized team administrators, coaches, parents, guardians, and swimmers according to their account permissions. We do not sell personal information. We do not use swimmer information for targeted advertising.

Information may be shared with service providers that help operate SwimmersREEF, such as hosting, email delivery, database, security, or technical support providers. These providers may process information only as needed to provide those services. Information may also be disclosed if required by law, to protect safety or security, or in connection with a team-directed export or transfer.

Children and Parent Rights

SwimmersREEF is used by adults and team staff to manage swim team activities. Information about children may be entered by a parent, guardian, coach, or team administrator for team-management purposes. Parents and guardians may review, correct, or request deletion of their child's personal information by contacting their team administrator or the SwimmersREEF contact listed below.

If you believe a child under 13 has provided personal information directly without parent or guardian permission, contact us so the information can be reviewed and, where appropriate, deleted.

Cookies and Sessions

SwimmersREEF uses essential cookies and session storage to keep users signed in, protect accounts, remember team context, and operate the application. These cookies are necessary for the service and are not used for advertising.

Retention

We keep personal information for as long as needed to provide SwimmersREEF to the team, maintain meet and roster history, comply with legal obligations, resolve disputes, and enforce agreements. Teams may request deletion or export of team data, subject to legal, security, backup, and operational requirements.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No online service can guarantee perfect security, so teams and users should protect account credentials and promptly report suspected unauthorized access.

Your Choices and Rights

Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, or objection regarding personal information. Some laws also require notice of the categories of personal information collected, the purposes for collection, retention practices, and whether information is sold or shared for cross-context behavioral advertising. SwimmersREEF does not sell personal information or share it for cross-context behavioral advertising.

To make a privacy request, contact your team administrator or use the contact information below. We may need to verify your identity and relationship to the relevant swimmer or team before completing a request.

Opt-Out Requests

Parents and guardians may opt out of optional team communications, request that a swimmer's optional account access be disabled, or refuse further collection or use of their child's personal information, subject to information the team reasonably needs to operate rosters, attendance, meet entries, safety records, legal obligations, and account security.

To opt out, contact your team administrator or email privacy@swimmersreef.com with the parent or guardian name, swimmer name, team name, and the specific request. We will route team-managed requests to the appropriate team administrator when needed.

SwimmersREEF does not sell personal information, does not use swimmer information for targeted advertising, and does not share personal information for cross-context behavioral advertising. If that changes, this policy will be updated and any required opt-out mechanism will be provided before that use begins.

Sample Opt-Out Response

If you need to send an opt-out request, you may use this language:

Please treat this message as a privacy opt-out request for SwimmersREEF. I am the parent or guardian of [swimmer name] on [team name]. I request that you [describe request, such as stop optional team communications, disable swimmer account access, review my child's information, delete information that is not required for team operations, or stop further optional collection/use]. Please confirm receipt and let me know if you need information to verify my request.

Changes to This Policy

We may update this policy when SwimmersREEF changes or when legal, security, or operational requirements change. The updated date above shows when this policy was last revised.
